Terms of Service

By signing up, accessing, or using LeaseFix you agree to these Terms of Service and to our Privacy Policy and Acceptable Use Policy. If you do not agree, do not use LeaseFix.

• You are responsible for keeping your credentials confidential and for all activity under your account.
• You must provide accurate information and update it when it changes.
• Notify us promptly at security@leasefix.co if you suspect unauthorized access.

If you create or administer a workspace on behalf of a property management company:

• You confirm you are authorized to bind that organization to these terms.
• Workspace admins are responsible for inviting, role-assigning, and removing members and for the actions members take inside the workspace.
• You will not invite users into roles whose access exceeds what their job lawfully requires.

You retain all rights to data you upload or generate inside LeaseFix ("Customer Data"). You grant LeaseFix Technologies LLC a limited, worldwide, royalty-free license to host, copy, transmit, display, and process Customer Data solely to operate, maintain, secure, and improve LeaseFix for you.

We do not sell Customer Data and do not use it to train third-party foundation models.

You are responsible for the accuracy and lawful basis of the data you put into LeaseFix, including:

• Tenant, vendor, and owner contact details and their use for maintenance coordination.
• Disclosures to tenants required by your jurisdiction (entry notices, recording disclosures, fair-housing notices).
• Photos, videos, and documents attached to a request — and the consent of any individuals depicted where required.

LeaseFix includes AI-assisted features (triage drafts, summaries, suggested replies, vendor match suggestions).

• AI outputs are advisory. LeaseFix drafts, flags, and structures. A human manager or coordinator must review before dispatching, sending, or changing priority. AI does not close work orders, dispatch vendors, or send tenant notifications on its own.
• Customer data is not used to train foundation models without explicit opt-in. Fine-tuning, where enabled, occurs on siloed, tenant-anonymized data sets per organization.
• AI output may be incomplete or wrong. Do not rely on it as a substitute for licensed professional advice (legal, medical, structural, code-compliance).
• We provide no warranty of accuracy, completeness, or fitness for a particular purpose for AI outputs.

LeaseFix is a coordination and workflow tool. It is not an emergency dispatch service, alarm monitoring service, or medical, fire, gas-leak, or life-safety system. Do not use LeaseFix to report an active emergency.

For fire, gas leaks, active flooding, medical emergencies, or any situation involving imminent risk to people or property, contact local emergency services (in the United States, dial 911) and, where applicable, your utility provider directly. Use LeaseFix only to record and coordinate the follow-up after life-safety authorities have been contacted.

• Paid plans are billed in advance on a monthly or annual cycle as selected at signup.
• Fees are non-refundable except where required by law or expressly stated in your order form.
• You are responsible for applicable taxes other than taxes on our income.
• If a payment fails, we will retry and may suspend access until the balance is current.

You can cancel your subscription at any time from Settings → Billing. Cancellation takes effect at the end of the current billing period. After cancellation, your workspace remains in read-only mode for 30 days so you can export data, then is scheduled for deletion.

Your use of LeaseFix must comply with our Acceptable Use Policy. We may suspend or terminate accounts that violate it.

We work hard to keep LeaseFix available, but we do not guarantee uninterrupted service unless an SLA is expressly included in your order form. We may schedule maintenance windows with reasonable notice.

You will not (and will not permit any user to):

• Use the service to break the law, infringe rights, or send unlawful content.
• Attempt to access another customer's workspace, bypass security controls, or probe our systems for vulnerabilities outside a coordinated disclosure to security@leasefix.co.
• Resell or sublicense the service without our written consent.
• Interfere with the operation of the service through automated abuse, denial of service, or excessive scraping.

We may suspend or terminate access if you materially breach these terms, if your account is past due, or if continued use creates a security or legal risk. Where reasonable we will give you notice and an opportunity to cure.

The service is provided "as is" and "as available". To the fullest extent permitted by law, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the service will be error-free or that AI outputs will be accurate.

To the maximum extent permitted by law, LeaseFix Technologies LLC is not liable for indirect, incidental, special, consequential, or punitive damages, or for loss of profits, revenues, or data. Our aggregate liability arising out of or relating to the service in any 12-month period will not exceed the amount you paid for the service during that period (or USD 100 if you paid nothing).

You will defend and indemnify LeaseFix Technologies LLC against third-party claims arising from your Customer Data, your use of the service, or your breach of these terms, except to the extent caused by our breach.

These terms are governed by the laws of State of Texas, USA, without regard to its conflict-of-laws rules.

We may update these terms. When we make a material change we will update the date above and notify workspace admins at least 14 days before the change takes effect. Continued use after the effective date constitutes acceptance.
