Dispatching vendors

Pick the right vendor, send a work order they can act on, and track the response without chasing texts.

Choosing a vendor

From a draft work order, the Recommended vendors panel ranks active vendors by trade match, ZIP coverage, average response time, and after-hours coverage when the work is urgent. The top suggestion shows why it was chosen — you can pick another vendor with one click.

Sending the work order

Click Dispatch and pick the vendor's preferred channel (SMS, email). The vendor receives a unique secure link to view the full work order — no login required — and one-click buttons to accept, propose a different time, or decline.

Tracking the response

The work order shows a live timeline:

  • Sent — when LeaseFix delivered it
  • Viewed — when the vendor opened the link
  • Responded — accepted, proposed a window, or declined (with reason)
  • Scheduled — confirmed time
  • Completed — the vendor uploaded a photo and any notes

If a vendor doesn't respond

You'll see an automatic reminder badge after the vendor's typical response window passes. Click Reassign to send to the next-best vendor — the original vendor's link is invalidated.

Closing the loop

When the vendor marks the job complete, LeaseFix offers a tenant follow-up draft so you can confirm the issue is resolved. See sending tenant updates.
